Your Mission
Heat Geek is excited to bring two Operations Associates into our Planning & Supply Chain team. We install hundreds of heat pumps per month across the UK. Every installation requires a precise set of compliance checks, documentation steps, and logistical coordination to ensure quality, efficiency, and regulatory adherence. We need you to take ownership of a defined area within the installation workflow, and you will specialise mostly in either the Planning or Supply Chain side of the team. You will become an expert in your specific area, ensuring every job moves smoothly through our pipeline with high accuracy.
This is a role for someone who enjoys structured work, detail, consistency, and spotting process issues, and who takes pride in getting things right every time. While the work follows clear rules, we are still an early-stage company, which means you’ll also need to be comfortable learning, adapting, and there's a bit focus on working to improve how things are run.
Role Outputs
- You will be trained to own 1–2 specific “task clusters” within our installation workflow. These may include:
1. Documentation & Compliance Processing

- Completing and submitting heat pump compliance forms (MCS, DNO, warranties, etc.)
- Gathering, checking, and uploading installer documentation
- Validating data for accuracy and completeness
- Following defined workflows with high precision
- Identifying blockers and ensuring missing information is chased before submission
- Keeping internal systems and job statuses accurate and up to date
- Flagging recurring issues for process improvement
2. Supply Chain Facilitation

- Ensuring all parts orders are fully submitted in a timely manner before each installation
- Liaising with suppliers and merchants to ensure all parts orders are confirmed in advance of dispatch
- Escalating unhappy path deliveries to ensure successful, timely resolution
- Flagging recurring issues for process improvement
3. Exception Handling (Low-to-Medium Complexity)

- Identifying when work deviates from the happy path and escalating appropriately
- Working with internal teams to resolve discrepancies
- Contributing to improvement of documentation and playbooks
- As one of the early hires for this team, we will look to you to help us identify gaps and suggest best practices to our operational processes.
Candidate Requirements
- Strong attention to detail and comfort with repetitive, structured tasks
- Experience in process-heavy or compliance-based roles such as:
- Insurance processing, Mortgage/Conveyancing admin, Financial services operations, Logistics operations, Utilities/Energy admin, Warranty or claims processing, or other similar spaces
- Confident working with digital workflows, internal systems, and spreadsheets
- Strong written and verbal communication
- Comfort with an ambiguous environment
It’s a bonus if you have…
- Experience in renewable energy, construction, engineering, or utilities
- Familiarity with MCS, DNO, or other regulatory frameworks
- Experience working in a startup or growth environment
